Procedure Decision
Choose how a case's procedure (Formal vs Informal) is decided. The system always knows what it would recommend based on policy — this setting decides whether to commit that automatically or to give the user the choice at the end of the assessment.
When User decides is on, if the user picks the alternative procedure to what the system recommended, the Change of Procedure approval (configured below) will fire if it requires one.
The system still determines and shows the procedure, but the user can change it at the end of the assessment. If a Change of Procedure approval is configured, an override goes for approval first.
Start Screen
Choose which fields appear on the New Case start screen and add your own custom fields. Employee and the issue description are always shown.
Process Steps
Build the step sequence for each process and assign who owns each step. Add steps and choose the item — the case follows these steps in order and the system decides what comes next. Assessment decides the formal/informal procedure, so it runs before procedure-specific steps. Employee-lodged appeals (Employee Zone) route to the manager by default.
Approval Configuration
Configure when approvals are required before a step can proceed. The approver reviews but cannot make changes.
Handover rule applies when the approver role resolves to more than one user. Due by is the number of days allowed, counted from when the approval is first requested.

Disciplinary Enquiry — Chairperson
Choose how a chairperson is selected when scheduling a disciplinary enquiry.
Days allowed from when the chairperson selection is requested — shown as the Due-by date on the Dashboard and My Cases.
Shown to the initial user when the case returns to them after the chairperson has been chosen.
When on, if the disciplinary enquiry is allocated to the chairperson to complete on the system, all side panels (employee details, offence, risk score, consistency check, charges, etc.) are hidden so the chairperson works with only the proceedings they enter.
When on, the chairperson picker includes an External option where a name and email address can be captured. An external chairperson cannot complete the enquiry on the system — the user always conducts it on the chairperson's behalf, so the "I will proceed / Send to Chairperson" question is skipped automatically.

Choose which of your users are ER experts. When a user picks “Chat to an expert”, the chat is routed to one of these people and pops up on their screen.

Duplicate case check
When on, the system checks before a new case is started. If a case of the same type is already in progress for the same employee, with the same offence (misconduct) or category (grievance / incapacity) and the same start date, the user is warned and asked whether to start another case. If they choose no, the case is not started.
Single Sign-on (SSO)
Let your people sign in with your organisation's Microsoft Entra ID (Azure AD) instead of an AIR password. When this is on and configured, every user and employee record is marked as SSO sign-in.
The web address your people use to reach AIR. Defaults to your client name; editable. A DNS record for this subdomain must point to AIR (typically a wildcard *.ernavigatorair.com CNAME so new clients work automatically).
Add this as a Redirect URI (and the App URI as an Application ID URI) in your Entra ID app registration.
Multi-factor authentication (MFA)
When on, after the password we email the user a 6-digit code that they must enter before they're signed in.
logins (e.g. 5 = a code on every 5th sign-in).
Group of employee field
The employee field used to build a group of employees on a case (group grievances and group CCMA/tribunal referrals). The user picks a value from this field to add everyone who shares it, and can also add individuals.
Performance ratings — push API
Optional webhook URL. When a performance-rating review is finalised, the system POSTs the final rating (employee, cycle, initial / preferred / final rating) to this URL as JSON. Leave blank to disable the push (the client can still fetch ratings via the read API).
Reminder emails
Master switch for the due-by reminder and escalation emails across all modules. When off, no reminder or escalation emails are triggered. Configure the templates and escalation rules under each module's Emails tab.
Alerts
When on, each user sees a 🔔 bell next to the logo with an alerts card listing cases handed to them (including approvals and chairperson selection), steps due today or overdue, and upcoming incapacity reviews. Clicking an alert opens the case; it clears once the step is completed.
Notice period day counting
Choose how notice periods (for example the disciplinary enquiry notice or appeal hearing notice) are counted when the system calculates the earliest allowable meeting date.
Hours and months are always treated as calendar values. Weeks follow the same rule — calendar weeks count 7 days each, working weeks count 5 days each.
When on, public holidays are skipped (as well as weekends in working-days mode) when calculating notice-period dates.
Hide cases where my manager is the employee
When on, a user can never start or see a case where the employee is their own manager. The manager will not appear in the New Case employee picker, and any existing case for that employee is hidden across My Cases, Case View, Employee View, dashboard counts and reports for that user. System administrators are never restricted.
"Assign to me" on handoff dialog
Controls whether the Assign to me button appears alongside the role-based assignment options when a step is handed off. When off, the user must pick one of the configured role candidates. As a safety net, if no candidates are found at all, the Assign to me option always appears regardless of this setting so the case is never stuck.
Microsoft Teams link on meeting invites
When on, every meeting-invite screen across all modules (disciplinary enquiry, grievance, tribunal, restructuring, appeal and incapacity) shows an Include a Microsoft Teams link option. The user ticks it per meeting to add a Teams/video link to the calendar invite. When off, the option is hidden everywhere.
User case emails (Send an email)
When on, every case (disciplinary, grievance, incapacity and tribunal) shows a Send Email button. The user can email people involved in the case and other users they may access, attach case documents, and the case number, type, step and status are added to the top of every email. Sent emails are logged on the case (and shown as a side panel in read-only views). When off, the button is hidden everywhere.
Digital signature
When on, every notice and sanction form offers an Include my digital signature option as it is generated. When ticked, the issuing user's name is rendered as a cursive signature in the Issued by position on the form. When off, forms show the issuer's typed name only.
Form Header & Logo
Applies to every printed/emailed form across all modules — disciplinary, conflicts, tribunal and restructuring (notices, letters, charges, enquiry records). Save the client logo under Client Info; this is the toggle to include it.
Add company address, reference numbers, registration number, or any other letterhead text. Plain text — line breaks are preserved.
Employee Zone
A self-service space for employees. When on, an Employee Zone item appears in the menu for users, and any employee who is not a system user is taken straight to the Employee Zone when they sign in. Give those employees a sign-in password on their employee record.
